Overview

RefOps helps officiating organizations manage members, operations, communications, attendance, assigning, observations, and payments. This Privacy Policy explains what information RefOps collects, how it is used, and the choices available to organizations and users.

Information We Collect

Depending on how RefOps is used, we may collect and store information such as:

• Name, email address, phone number, mailing address, and profile/headshot
• Organization membership, role, permissions, and related account details
• Attendance, check-ins, availability, schedules, assignments, and calendar activity
• Observations, comments, notes, and internal workflow activity
• Dues, fines, payment status, invoices, and billing-related records
• Support messages, feedback, and other communications sent to RefOps
• Basic device, browser, log, and product usage information used for security and improvement

How We Use Information

RefOps uses information to operate and improve the service, including to:

• Provide organization management, roster, attendance, assigning, and observation tools
• Support check-ins, scheduling, communications, and reporting
• Process dues, fines, billing, and related account administration
• Respond to support requests and communicate service updates
• Maintain platform security, prevent abuse, and troubleshoot issues
• Analyze product usage and improve performance, reliability, and features

Location Data

RefOps may use location-related information for event location search and geofenced check-ins. For example, location data may be used to help users find event venues or verify that a check-in happened at an approved location. RefOps is not intended to provide continuous background location tracking unrelated to platform use.

Payments

Payment processing is handled by Stripe and other approved payment providers when applicable. RefOps may store payment status, transaction references, or limited billing metadata needed to operate the service, but RefOps does not store full card numbers.

Service Providers

RefOps may rely on service providers to operate the platform. Providers may include Supabase, Stripe, Resend, Vercel, and Google Maps or Google Places. These providers may process information on RefOps' behalf to host the service, send communications, process payments, or support location search and related functionality.

Organization Access and Sharing

Organization administrators can access member and operational data for their organization in order to manage the organization's use of RefOps. RefOps may also share information:

• With service providers supporting RefOps operations
• When required by law, legal process, or valid governmental request
• To protect the rights, security, or integrity of RefOps, organizations, or users

RefOps does not sell personal information.

Data Accuracy, Access, and Deletion Requests

Users and organizations may contact RefOps to request access to, correction of, or deletion of personal information where applicable. Some requests may need to be coordinated with the organization that manages the relevant account or records.

Security

RefOps uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or disclosure. No system can be guaranteed to be completely secure, but RefOps works to maintain appropriate protections for the nature of the information it processes.

Data Incidents and Contact

If RefOps becomes aware of a material security incident affecting personal information, RefOps may investigate, take reasonable response steps, and notify affected organizations or users when appropriate under applicable law or contract. Changes to This Policy

RefOps may update this Privacy Policy from time to time. When changes are made, RefOps may update the effective date above and post the revised version on this page.
